Recruitment Description | Key Accountabilities:

Cost Management and Resource Utilization Support

Maintain the approved & effective work practices required within this role so that the maximum benefit is derived from the available resources.

Support the operations team to achieve compliance to site procedures and legal requirements.

Follow up and provide feedback to management on the operating cost status and CAPEX process status as applicable.

Manage and coordinate a high-performance culture and service delivery

Ensure effective management, control and record keeping of the operations team’s fleet: Vehicle Licenses, vehicle Fines, vehicle Insurance / windscreen claims, eTags, fuel cards, monthly fuel card statements, hired vehicles process, vehicle’s spreadsheet, vehicle servicing, trailers / guardhouses, IMS Monthly Inspection.

Effective management, recording and tracking of the Security division’s deviations and general maintenance: Maintenance Spreadsheet, Create Notification, Outstanding notifications, Work orders, Rentals, Fencing Notifications, Maintenance PR’s.

Effective execution and follow-up of purchase order request and deliveries to assist Security:

Stock Control Orders – Monthly ordering stock for the Operational and Consumable storeroom as per stock control sheet, PPE Management – Consolidate PPE requests and create PR’s, Internal Purchase Requests – Action ad-hoc purchase requests, Purchase Order Record – Daily as per request – Coordinating and complete spreadsheet as per requests received.

Continuous engagement and follow up with hubs and contact centres to assist with the closing of monthly PO’s on the Security Commitment Report –Close Open Orders / Change Delivery dates.

Team Administration & Support

Prepare, draft, maintain and capture reports, documents & written records; book and prepare meeting rooms, disseminate information to team members, maintain filing, database systems, and inventories.

Any general administrative and support actions as instructed by the Manager Mining and Polymers operations.

Safety Administration & Support

Manage and track the operational SHE performance according to the KPI scorecard and monthly performance to identify deviations and take action Manage and effectively coordinate safety administration responsibilities to support the Security operations towards compliance with 2nd and 3rd party audit requirements: Distribute audit preparation checklist, Attend audit meetings, record keeping of all correspondence & support documentation, follow up correspondence for current & overdue actions, send audit procedures to each the operations manager and verify completed actions, sign off of findings and corrective actions, track implementation of corrective actions / suggestions, verify environmental risk assessment for validation Effective management, control and co-ordination of the operational safety administrative processes, implementation and requirements to ensure compliance and upholding of safety standards: Building Risk Assessments , Plot Plans , Update notice boards in designated areas with relevant safety information, Monthly Safety Theme distribution for toolbox talks, Daily Report , Safety statistics (Collisions, Recorded Cases, First Aids, Fatalities), Emergency Preparedness, First Aid administration and coordination, Weekly housekeeping inspections, Bi-Monthly SHE meetings (Sasol and Service Provider), Adhoc Update Legal Appointments , Incident Investigations, Near miss reports, Submit monthly Service Provider man-hour reports to SHE, SPSM.

Ensure effective management, control and co-ordination of Mining & Polymers operational IMS administrative and record keeping processes: Capture IMS inspections monthly on system, Send reminders to IMS inspection users and logbook owners, Track and report on IMS performance, Distribute and share monthly participation report received from SHE, Ensure IMS changes where need arise.

Formal Education:
High School / School Diploma or similar

Relevant Post School Tertiary Diploma (Wish)

Driver’s license

0+ relevant years

Certification & Professional Membership:


Analytics: Computer literacy, Microsoft Office, Microsoft power BI

Business Acumen: Administrative (written and verbal), report writing, taking of minutes, safety system understanding and administrative updates

Critical reasoning: problem solving within boundaries of allocated role
