Follow up on resolutions and close off resolutions with appropriate reports also ensuring that deadlines are met. Compile and submit weekly, quarterly and monthly reports to the HOD on all business units. Capturing of incoming and outgoing correspondence. Manage registry / filing system and implementation of the file tracking system. Directing of correspondence to relevant managers, follow-up on actions and decisions taken, and ensure that target dates are met. Develop workflow systems and assign responsibilities to staff. Coordinate meetings, workshops and functions within the set timeframes. Manage minutes taking and recording of meetings. Compile action list of previous meeting and content reports for the office of the HOD. Manage confidential information and decisions emanating from meetings. Develop a reporting framework on operational effectiveness for the office of the HOD. Develop and maintain a document tracking system in the office of the HoD. Collate information on all projects and initiatives requiring oversight and create a project list. Assign tasks to supervised staff. Conduct performance reviews on supervised staff. Train and discipline staff.
